Volunteer at ULF Scientific Symposium & Family Conference 2025

Thank you for your interest in volunteering for the United Leukodystrophy Foundation’s Annual Scientific Symposium and Family Conference, taking place June 26-28, 2025 at Eaglewood Resort & Spa, Itasca, IL.

Volunteers play a vital role in many aspects of this event, and we sincerely appreciate your time and dedication. Please complete this form to the best of your ability. Once submitted, a ULF representative will follow up with additional details and instructions. While we will do our best to accommodate special requests and task preferences, we appreciate your understanding that assignments are based on event needs.

Volunteers are welcome to be either local to the Itasca, IL area (within driving distance) or registered attendees of the conference. Please note that we are unable to provide travel accommodations for volunteers. Registered attendees who are already planning to attend the conference are welcome to volunteer a portion of their time to support the event. We greatly appreciate your willingness to contribute and help make this event a success!
Wednesday is dedicated to staging and setup for both the Scientific Symposium and the Family Conference. Tasks will include, but are not limited to, transporting packages to designated areas, unloading and unpacking materials, and setting up key event spaces. This includes registration, the poster hall, signage, welcome packets, name badge assembly, and the t-shirt station. The first shift will focus on preparation, while the second shift, beginning at 5 PM, will handle the primary setup.
On Thursday, volunteers will assist with final event preparations and guest services. Tasks include hanging posters for the poster session, completing setup for the Family Conference, assisting with registration check-in for Scientific Symposium, volunteer check-in and assistance at t-shirt merchandise table. Additional responsibilities include setting up rooms, distributing welcome packets, welcoming guests, directing guests, answering questions, and serving as room counters to monitor attendance at Symposium.
On Friday, volunteers will assist with final event preparations and guest services. Assisting with registration check-in for Family Conference, volunteer check-in, and assistance at t-shirt merchandise table. Additional responsibilities include setting up rooms, distributing welcome packets, welcoming guests, directing guests, answering questions, and serving as room counters to monitor attendance at Family Conference. Friday evening features our Dinner and Auction events, requiring volunteer support in several key areas. Tasks include setting up the silent auction, assisting as auction spotters during the live auction, serving as runners to deliver items to winning bidders, and assisting in the checkout area to ensure a smooth process for auction winners.
On Saturday, volunteers will assist with event preparation and guest services. Assisting with registration check-in for Family Conference, volunteer check-in, and assistance at t-shirt merchandise table. Additional responsibilities include setting up rooms, distributing welcome packets, welcoming guests, directing guests, answering questions, and serving as room counters to monitor attendance during sessions. volunteers will also assist with breaking down conference areas that are no longer in use after the event concludes. Evening volunteers will also be needed to assist at the dinner.
On Sunday, volunteers will assist in breaking down, packing and loading vehicles with conference materials. Tasks also include, removing signage, and ensuring spaces are cleared and organized.
